1. SECURITY DEPOSIT
The refundable Security Deposit is required to book unless otherwise agreed. Acceptable
forms of payment are personal check, bank draft, money wire, and certified check.
1 - 2 Weeks
The Security Deposit will be used to cover any damages or missing items, and any extra
carettaker/cleaning time due to early arrival or late departure.
The Security Deposit refund will be issued within 14 days after departure and the house
has been checked by the caretaker.
2. TRAVEL INSURANCE
If there is a chance you have to change your dates or cancel your reservation for medical or
other complications, you have until the day before you leave to purchase Trip
Cancellation/Interruption insurance from Access America. See www.accessamerica.com
to get quotes.
3. CHANGES or CANCELLATION OF RESERVATION
More than 3 months before arrival date = Full refund, less $150.
Less than 3 months before arrival date = Full refund, less half of the Security Deposit.
Less than 2 months before arrival date = Full refund, less Security Deposit
Less than 1 month before arrival date = Loss of security deposit and 1/2 rent payment
unless another renter is found, in which the rent paid shall be refunded.
The refund will be issued within 10 days of written request of change or cancellation.
The charges are required to cover the management, cleaning, grounds maintenance, etc.
that have been scheduled and must be paid whether or not our renters show up. The
balance of your Deposit and Rental Fee can be held towards future reservations. However,
the rate may be different based on your future vacation dates.
4. NO SHOW
If you fail to arrive for your scheduled vacation without having notified us you will be subject
to loss of the Security Deposit and full Rental Fee.
6. BOAT DOCKAGE
Boat dockage is complimentary for non-discounted rentals and must be requested at time
of booking to be included in the rental agreement. Limit is two(s) boats totalling 24' in
7. POOL AND HOT TUB
The hot tub is heated November through April. Heat is available May through October with
$50/day added to the security deposit. After your departure you will only be billed for what
you used. During times of extremely low temperature or high wind, pools may not heat to
what tenant believes to be an acceptable temperature. No refund will be given due to
adverse weather conditions.
Pregnant women, people on medication, those with high blood pressure, heart disease,
diabetes or other conditions should consult their physician before using a hot tub. Children
under the age of 12 are prohibited from entering hot tubs. Misuse or overuse of hot tubs
will result in a higher possibility of infection, as sanitizers are not able to combat
abnormally elevated bacteria levels. Pets are not allowed in pools or hot tubs at any time.
7. PETS AND SMOKING
Small pets are allowed for an additional $15 per pet per night.
Cleaning of smoke odors, cigarette butts, ashes, etc. in the houses or on the
porches/balconies will be cleaned at the rate of $25 per hour. Smoking is allowed outside
the houses on the porches/balconies.
8. HURRICANE AND NATURAL DISASTER POLICY
You get a full refund for the days you cannot occupy the property, minus the
Cleaning/Property Management fee, and any required deduction from the Security Deposit,
due to a Mandatory Evacuation notice issued for the Florida Keys by the Monroe County
Emergency Management. Unfortunately, we cannot give refunds for hurricane watches or
warnings, or difficulties in travel due to them.
9. RENTAL PERIOD
Check-in time is 4:00 PM on the first day
Check-out time is 10:00 AM on the last day (Cleaner must be able to access at least one of
the houses rented to begin cleaning.) Please notify the office if you will be arriving early or
The departure cleaning fee fee of $240 for the Main House and $60 for the Guest House
covers Check-in, Check-out, mid-week check-up and Cleaning. Charges for excessive
time may required for any of, but not limited to, the following:
- dirty dishes, stains on linens, marks on walls, trash left on the grounds, soiled
fridges, ovens, etc.
- taking garbage out to and in from sthe curb
- cleaning messes from failure to keep garbage cans tightly closed to keep out
raccoons and birds;
- cleaning up garbage, cigarette butts, etc. left by tenants anywhere on property;
- cleaning barbecue thoroughly - burn off any uncooked food and dump grease in a
tightly secured bag or container in the garbage, and close valve tightly so gas
doesn’t leak out slowly.
We guarantee that in the event of a malfunction or breakdown of air conditioner, television,
appliances, etc., we will strive to replace or repair it as soon as possible after being
notified of the problem. No refunds or rental rate adjustments will be made unless we are
unable to reasonably replace or repair the problem within 72 hours or damage to a guest’s
possession was proven to the property manager to be caused by such malfunction or
12. AGE REQUIREMENT
Head Guest must be 30 years or older. Groups with the majority of guests under 25 years
of age and no accompanying parents require additional $500 security deposit. Occupants
under the age of 19 must be accompanied by an adult listed on the Agreement. Minors
under 16 must have the Pool Waiver signed by a parent or guardian.
13. NOISE and DISORDERLY CONDUCT
The Cudjoe Gardens neighborhood is not suitable for loud parties/gatherings that extend
beyond 10 pm. Should guests not heed warnings to reduce noise levels or induce fines or
eviction because of disorderly conduct or any other violation set forth by the Monroe County
or the City of Key West, or any other violation of the rental contract, deductions shall be
made from the Security Deposit to cover any reparations and/or fines.
14. LIMITATION OF LIABILITY
We are not obligated to issue refunds or adjustments for any natural or man-made
situation beyond our control including catastrophes and “acts of God”.
Only the number of people and vehicles specified in this agreement are allowed to stay
overnight as guests.
Guests and all persons on the premises by invitation of the Guests hereby indemnify and
hold White Ibis Inn, its employees, the corporation or any individual connected in any way
to White Ibis Inn harmless for any responsibility or liability for any accident, injury, illness,
death or damages sustained by or to any person or their personal property during the
rental period or use of facilities and agree to pay all costs incurred in connection with any
accident, injury, illness, death or property damage loss, including attorney's fees, except if
proven to be caused by malfunction or breakdown of equipment, building code or other
15. FORMS REQUIRED
Guests are responsible for the completion and timely return of any rental forms and
payments, including but not limited to the Booking Agreement and Pool Waiver for Minors.

16. Booking Process/Confirmations
Confirmations will be sent by e-mail unless delivery is not successful or another method is

will get an email receipt and your dates are marked on the availability calendars
